Starting Today, Student Leave at PPTQ Ibrahim Is Requested from Your Phone: The New Leave Rules for Parents

Dear parents and guardians, starting Thursday, 29 October 2026, Pondok Pesantren Tahfizhul Qur'an (PPTQ) Ibrahim is introducing new student leave rules. The biggest change is a simple one: leave requests can now be submitted from your phone through the SIPANDAI parent portal. No more waiting for a reply buried among dozens of chats, and no more guessing whether a request has been approved.

This article explains what has changed, who approves leave, what the limits are, and how to submit a request step by step. Please read to the end, as there are a few key numbers you will need often.

New student leave rules at PPTQ Ibrahim Sidrap: leave requests submitted from a phone through SIPANDAI

From 29 October 2026, leave at PPTQ Ibrahim is requested and tracked from the parent's phone.

Why Have the Leave Rules Been Updated?

At a Qur'an memorization school, time is the main capital. A day away from the pesantren means a day of delayed memorization, interrupted revision, and classmates in the same halaqah moving ahead. That is why going home is more than paperwork: it affects your child's learning rhythm.

Until now, most requests came by phone call or WhatsApp message to different mentors. The intention was good, but several problems kept coming up:

  • leave messages got buried among other chats and were read late;
  • it was unclear who had the authority to approve, so parents contacted several people at once;
  • departure and return times were not recorded properly;
  • it was hard for the pesantren to see which students had already gone home many times in a semester.

The new rules address all four. Every request is now recorded, has a clear person in charge, and can be tracked by parents, mentors, and the leadership.

Who Approves Student Leave?

You do not need to work out whom to contact. SIPANDAI sets the approval level automatically based on the type and length of leave, who is picking the student up, and the student's record.

Student leave approval flow at a tahfizh boarding school: Dormitory Head, Student Coordinator, Foundation Chair

Three levels of leave approval at PPTQ Ibrahim.

1. Dormitory Head

Every dormitory, for boys and for girls, has a dormitory head: the mentor closest to your child's daily life. The dormitory head approves the most common requests: short outings (up to 6 hours, returning the same day), medical visits outside the pesantren, family emergencies, and going home or staying overnight for up to 2 days.

2. Student Coordinator

The pesantren appoints one Student Coordinator for boys and one for girls. The coordinator approves longer or more sensitive requests: going home for 3 days, activities or competitions outside the pesantren, and pick-ups by someone other than the father, mother, or registered guardian. In the last case, the pesantren will call the registered parent's number before the student is allowed to leave.

3. Foundation Chair

Requests outside the rules are decided by the Chair of the Foundation: leave of more than 3 days, leave that falls during exams or compulsory activities, home leave beyond 3 times in a semester, and leave for students currently under suspension or probation.

The Head of the Pesantren is kept informed of all student leave. Higher-level staff may also approve requests at lower levels, for example when a dormitory head is unavailable, so your request is never left waiting.

How to Request Leave from Your Phone

If you already open the parent portal to check your child's memorization, a leave request takes about two minutes.

How to request student leave from a phone in the SIPANDAI parent portal of PPTQ Ibrahim

Three steps to request leave from a phone (screens show sample data).

  1. Log in to the parent portal. Open walisantri.ibrahim.or.id on your phone and sign in with your child's NISN or the parent's registered phone number.
  2. Open the Student Leave menu. Tap More at the bottom right, then choose Izin Santri (Student Leave).
  3. Fill in the form. Choose the type of leave, the pick-up date and time, the return date and time, the purpose, and the name, relationship, and phone number of the person picking up. Attach an invitation or doctor's letter if you have one.
  4. Submit the request at least one day before pick-up, except in emergencies.
  5. Track the status. It moves from Awaiting approval to Approved, Outside the pesantren, and finally Returned. Approval notices are also sent to the parent's WhatsApp.

Plans changed? As long as the leave has not started, you can tap Cancel. The same page shows a summary of the rules, how many home leaves your child has left this semester, and the full leave history.

Never logged in to the parent portal? The login page explains which password to use the first time. After signing in, you will be asked to create a new password. Keep it safe and do not share it with anyone.

Key Numbers Parents Should Remember

Home leave limits at PPTQ Ibrahim tahfizh school: 6 hours, 3 days, 3 times per semester

Summary of time limits and number of leaves.

  • 6 hours: the limit for a short outing, returning the same day.
  • 2 days: home leave that the dormitory head can approve.
  • 3 days: the longest home leave without the Foundation Chair's approval.
  • 3 times per semester: the limit for home leave outside official holidays. Home leave taken since the start of the semester, including leave recorded in the paper logbook before these rules took effect, is counted.
  • 5:00 p.m.: the default return time unless stated otherwise.
  • 30 minutes: the lateness tolerance. Returning later than that without notice is recorded as a breach of the school rules.

During restricted periods, such as end-of-semester assessments, tasmi' or mutqin examinations, and compulsory pesantren activities, home leave is not granted except in emergencies or with the Foundation Chair's approval. The schedule always appears in the Student Leave menu.

Picking Up and Bringing Your Child Back

  • Students are released only to the person named in the request.
  • On arrival, report to the dormitory head or a mentor on duty. Your child's departure time is recorded right away.
  • Students may not travel home alone or by motorcycle taxi or ride-hailing car without a companion, except at the parents' direct request and with the pesantren's approval.
  • Bring your child back before the deadline and report again so the return time is recorded.
  • Delayed on the road? Let the pesantren know before the deadline. Lateness reported with an acceptable reason is not penalised.

For emergencies, such as a parent who is seriously ill or a death in the family, submit a Family emergency request and call the pesantren immediately at 0823 4544 9699. The dormitory head, or another mentor if the dormitory head is not available, can grant leave straight away.

How Does This Help Parents and Students?

Clear rules give everyone more peace of mind:

  • Parents know exactly whom the request goes to, when it is approved, and when their child must return, without contacting many people.
  • Students learn to manage time and keep their memorization schedule. The semester limit helps them stay focused at the pesantren.
  • Mentors know which students are away. Halaqah and class attendance automatically mark them as on leave, not absent without notice.
  • The leadership can review leave per semester as material for guidance, not as a tool for punishment.

Frequently Asked Questions

Are requests by phone call or WhatsApp still accepted?

Requests made only by the student, without confirmation from the parents, are not processed. If you have trouble opening the portal, contact the dormitory head or the pesantren, and staff will record the request in the system on your behalf.

What if an uncle or older sibling picks my child up?

That is fine. Write their name and relationship in the form. This kind of request is approved by the Student Coordinator, and the pesantren will call the registered parent's number to confirm.

Do official holidays count toward the limit of 3?

No. The limit of 3 per semester applies only to home leave outside official pesantren holidays.

My child is ill and needs to see a doctor. Who handles this?

Sick students are first cared for by the pesantren's health unit (UKS). If a referral or pick-up is needed, the UKS and the dormitory head will contact you. Medical leave can be approved by the UKS officer or the dormitory head.

Where can I see how many times my child has gone home this semester?

In the Student Leave menu of the parent portal. The rules summary shows how many home leaves have been used, and the full history is listed below it.
